Getting Started

What is DM Scribe?

DM Scribe is an AI-powered campaign companion for Dungeon Masters and game masters. You record or upload the audio from your Dungeons & Dragons sessions and it transcribes them, automatically extracts the people, places, items, and lore that came up, and organizes everything into a living campaign wiki. It also generates structured session recaps, tracks how your characters and factions relate to one another, and lets you share a player-facing version of your world — so you can spend less time on note-taking and bookkeeping and more time running the game.

Does it work with Pathfinder, Call of Cthulhu, or other systems?

Yes. Nothing in the pipeline is tied to a rules system: it transcribes what was said at your table and pulls out the characters, places, items, factions, and events, which every tabletop RPG has. The AI is tuned for D&D terminology, so a 5e campaign gets the most out of it straight away — but for any other system you can add your own campaign glossary of names and terms, and the transcription uses it to spell your world's vocabulary correctly. Pathfinder, Call of Cthulhu, Blades in the Dark, and homebrew settings all work the same way — the Pathfinder page walks through exactly what a PF2e table should set up. What it does not do is anything rules-aware: there is no character sheet, no combat tracking, and no dice.

How do I get started?

Create a free account — with your email or in one click with your Google account — set up your first campaign, and upload a recording of a session. From there it's hands-off: DM Scribe transcribes the audio, pulls out the important entities, builds your wiki, and generates a recap, all in the background. When it's done you can review and refine anything the AI produced, then share it with your table. No credit card is required, and every new account starts with 3 bonus transcription hours so you can try a full-length session right away.

Is there a free plan?

Yes. The free Adventurer plan includes 2.5 hours of transcription per month (plus 3 bonus hours when you sign up), one campaign, automatic entity extraction into your wiki, AI session recaps, and 5 Ask Your Campaign questions per day. It's a great way to see how DM Scribe fits your table before upgrading, and it's perfect for one-shots or shorter sessions.

How should I record my sessions?

The easiest way is to record directly in DM Scribe: open your session, hit Record, and the browser captures the whole game — pause and resume as you like, then Stop & Save sends it straight into transcription. Prefer your own setup? Any reasonably clear recording works: a phone on the table, a USB mic, or your virtual tabletop's audio capture. Clearer audio and players who don't talk over each other produce better transcripts, but you don't need a studio — the recording guide covers placement, settings and the mistakes that ruin a file.

What audio formats and sizes are supported?

DM Scribe accepts almost anything you can record with. Audio: MP3, M4A/AAC, WAV, FLAC, OGG/Opus, WebM, AIFF, WMA and the phone voice-memo formats (AMR, 3GP). Video: MP4, MOV, MKV (OBS's default), WebM, TS and camcorder recordings — the audio track is extracted automatically, and a file with several audio tracks (an OBS mic-plus-Discord setup, say) has them mixed so every voice is transcribed. The one common exception is FLV: if OBS is set to record FLV, switch it to MKV or MP4, or remux the file first. Files can be up to 500MB and sessions up to 8 hours; recordings over 4 hours are split and reassembled automatically on our side, so a long session is still one upload. Video fills 500MB faster than audio, so for a very long video, export just the audio track.

Transcription & AI

How accurate is the transcription?

Transcription is powered by state-of-the-art AI speech recognition and produces timestamped transcripts built for long, real-world game sessions. It also gets smarter about your campaign over time: the character, place, and faction names already in your wiki (including nicknames) are used to guide each new transcription, so fantasy proper nouns come out spelled consistently. Accuracy still depends on audio quality, and you can edit any transcript at any time — you're always in control of the final text.

Does the transcript say who is speaking?

No — this is worth knowing before you subscribe. Transcripts are the words in order, timestamped, without per-speaker labels; there is no speaker diarization. In practice recaps, the wiki, and campaign search don't need attribution, but if you want a script that reads like 'MATT: …' you would need to record per-speaker tracks and transcribe them elsewhere. Transcription also happens after upload, not live during the session.

How long does processing take?

You don't wait on it: upload (or finish a browser recording), close the tab, and we email you when the session is ready. Transcription plus the AI chain — entity extraction, relationships, recap — usually finishes well within the hour for a typical session; very long recordings take proportionally longer. The session view shows live progress through each stage if you'd rather watch.

Can I read or download my transcripts?

Yes. Every completed transcript is viewable right in the app — expand it to read, switch on the timestamped view to see when each line was said, copy the text, or download it as a plain-text file. You can also download a session's recap and full transcript together as one polished, print-ready document, perfect for a campaign binder or saving as a PDF.

What is entity extraction?

After a session is transcribed, the AI reads through it and identifies the things that matter to your campaign — NPCs and characters, locations, items, organizations and factions, events, lore, quests, spells, and key concepts. Each one is added to your wiki with a description drawn from how it came up in play. It's also campaign-aware: the AI is shown what your wiki already knows, so returning characters update their existing entries instead of spawning near-duplicates.

How do session recaps work?

With one click, DM Scribe generates a structured recap of a session: a narrative summary, key events, the characters and locations involved, combat encounters, items and rewards, and quest progress. They're written to be enjoyable for players to read between sessions, and recaps are included on every plan — including the free tier. You can also regenerate any recap with a different length, tone, or emphasis, or edit the summary by hand — every version is kept in history, so you can compare and restore earlier ones and nothing is ever lost. What is Ask Your Campaign?

It's a built-in AI assistant that answers questions about your own campaign — 'What did we promise the duke?', 'Where did the party leave the airship?' — using only your transcripts, wiki entries, recaps, and relationship graph. Every answer comes with citations that link back to the exact source, and if your sessions don't actually contain the answer, it says so instead of inventing one. Conversations are saved per campaign so follow-up questions work naturally. Can I import transcripts I already have?

Yes — on every plan. Import an existing transcript as a .txt or .md file (or paste the text directly) instead of uploading audio, and DM Scribe skips transcription and runs the full AI chain on it: entity extraction, relationship detection, and a session recap. Imports use none of your monthly transcription hours. The free Adventurer plan includes 2 imports a month, Dungeon Master 10, and Guild Master unlimited (see plans) — perfect for play-by-post games, sessions transcribed elsewhere, or migrating an old campaign's notes into a living wiki.

Can I edit what the AI generates, and will it overwrite my changes?

You have full control over every transcript, wiki entry, and recap. Importantly, your manual edits are treated as the source of truth — once you've edited an entry, future automatic processing won't overwrite your changes. The AI does the heavy lifting; you keep the final say.

Do I have to wait while it processes?

No. Transcription, entity extraction, and recaps run in the background, so you can close the tab or navigate away and come back later. Long-running jobs continue on our servers, and we send you an email the moment your session is ready — transcript, wiki entries, and recap all done.

Your Campaign Wiki

What does the campaign wiki include?

It's an automatically built encyclopedia of your world, organized into categories like people, places, items, organizations, events, lore, quests, spells, and concepts. Each entry has a description, a type, optional private GM notes, and connections to related entries — and it grows on its own as you upload more sessions.

Can I add or edit entries myself?

Absolutely. Alongside everything the AI extracts, you can create entries by hand for NPCs, locations, or plot hooks you've planned but haven't introduced yet, and edit any existing entry's name, category, type, description, or GM notes. Entries you author or edit are protected from being changed by later AI runs.

How does it handle duplicates?

Sessions often refer to the same character or place by different names, so DM Scribe includes intelligent duplicate detection. It looks beyond exact spelling — using phonetic matching, nicknames and aliases, word-order and partial-name matching — to flag entries that are probably the same thing, then lets you review and merge them in a couple of clicks.

What about off-topic chatter that gets picked up?

Real-life table talk sometimes sneaks into a transcript — someone mentions a brand, a sports score, a meme, or what to order for dinner. DM Scribe's off-topic detector flags entries that look like real-world references rather than genuine campaign content, using your campaign's own setting as context, so you can quickly review and remove anything that doesn't belong.

Can I track relationships between characters and factions?

Yes. DM Scribe maps relationships and aliases between entities and can display them as an interactive relationship graph, making it easy to see how NPCs, factions, and locations connect. You can also flag which entries are player characters. Relationship tracking is available on the Dungeon Master plan and above.

Is there a way to see my whole campaign at a glance?

Yes — the Campaign Timeline shows every session in order with its recap snippet and key events, plus which characters, places, and factions made their first appearance in each session. It's ideal for catching up after a hiatus, onboarding a new player, or tracing when a plot thread began.

Can I export my wiki?

Yes — you can download your entire campaign wiki as a formatted Markdown file. It's handy for offline backups, printing prep notes, or pulling your world into other tools.

Sharing & Collaboration

Can I share my wiki with my players?

Yes. You can generate a shareable, player-facing link to your campaign wiki. Players get a clean, read-only view of the world you've revealed to them — without ever seeing your private GM notes. Wiki sharing is available on the Dungeon Master plan and above.

Is there a plan for my whole group?

Yes — on Guild Master, one person subscribes and links up to four other accounts. Every linked member gets the full Guild Master feature set with their own 30 hours of transcription a month; there's no shared pool to split. And whether or not anyone else has an account, the shared wiki link keeps your whole table on the same page: players don't need accounts to browse the world you've revealed to them.

What plans are available?

Adventurer (free): 2.5 hours/month, one campaign, 5 AI questions/day, and 2 transcript imports/month. Dungeon Master ($7.99/month): 10 hours/month, unlimited campaigns, wiki sharing, relationship tracking, 50 AI questions/day, and 10 transcript imports/month. Guild Master ($14.99/month): 30 hours/month, unlimited transcript imports that use no hours, and 200 AI questions/day. Guild Master also covers your table: link up to four other accounts, each with their own 30 hours a month. Choose annual billing to save about 20% versus paying monthly — $76.70/year for Dungeon Master, $143.90/year for Guild Master.

What's included in the free plan?

The free Adventurer plan includes 2.5 hours of transcription per month (plus a one-time 3 bonus hours at signup), one campaign, automatic entity extraction into your wiki, AI session recaps, and 5 Ask Your Campaign questions per day — a genuinely useful tier, not just a trial.

What happens if I run out of hours?

You can top up any plan by buying extra transcription hours in 5-hour bundles for $4.95 — and those bundles never expire, so you can save them for a marathon session. You can also upgrade to a higher monthly tier at any time.

Do unused hours roll over?

Your monthly plan hours reset at the start of each billing cycle and don't roll over. Extra hour bundles you purchase are the exception — they carry over indefinitely until you use them.

Can I change or cancel my plan anytime?

Yes. You can upgrade, downgrade, or cancel whenever you like; changes take effect at your next billing cycle and you keep your current tier until then. Downgrading never deletes your data — your campaigns, wiki entries, transcripts, and recaps stay intact; you're simply limited to the new tier's monthly allowances going forward.

Technical & Data

Is my data secure?

Yes. Your data is encrypted in transit and at rest, audio is stored in secure cloud storage, and your campaign information is protected with industry-standard practices. We don't sell or share your campaign data with third parties.

Do I need to install anything?

No. DM Scribe is a web application that runs in any modern browser on desktop, tablet, or phone — just sign in and start managing your campaigns. There's nothing to download or keep updated.

Who can see my private GM notes?

Only you. GM notes live on a wiki entry but are kept separate from the player-facing content, so they never appear in shared wikis or exports meant for players. They're the place for secrets, plot twists, and prep that isn't ready for the table yet.

Can I export or delete my data?

Yes, both, self-serve. From Account settings you can download a complete export of your data — campaigns, transcripts, wiki entries, recaps and account records — and you can permanently delete your account, which cancels any subscription and erases your content. Individual sessions and their audio can be deleted at any time from within the app, and your whole wiki exports as Markdown whenever you want a local copy.

I forgot my password or username — what do I do?

Use the 'Forgot password?' link on the sign-in page and we'll email you a secure, single-use reset link (valid for 60 minutes). You sign in with your email address, so there's no username to remember. If you don't receive the email within a few minutes, check your spam folder or contact support@dmscribe.com.
